On behalf of the Director of Academic Affairs, the Staff of SRS, and all our stakeholders, I welcome you to the official page of the Students Records Section (SRS) of the University of Cape Coast (UCC).

The Students Records Section (SRS) is one of the sections under the Directorate of Academic Affairs (DAA) of the Office of the Registrar, with its mandate and activities governed and regulated by the Registrar, through the Director of the DAA. The clientele of the Section comprises; students, registration and examination officers, faculty, staff, alumni, and the University Community. The Section is your point of contact for any enquiries concerning registrations, assessments, graduations and academic data management. We welcome effective partnerships and collaborations with all stakeholders; individuals, groups, organisations and institutions, both locally and internationally, to achieve the mandate of the Section and the Directorate in line with the strategic vision of the University of Cape Coast.

Background

The founding fathers of the University of Cape Coast envisioned that the academic operations of the University required effective management of student records and related essentials in the University. In that regard, the Management of the University set up the Data Processing Unit (DPU) to manage the records of students and staff of the University as required. The DPU grew to become the Students Records Management Information Systems (SRMIS)

The Students Records Section (SRS) is one of the sections under the Directorate of Academic Affairs (DAA) of the Office of the Registrar, with its mandate and activities governed and regulated by the Registrar, through the Director of the DAA. The Section is headed by a Senior Assistant Registrar who is responsible to the Registrar through the Director of the DAA, and ultimately to the Vice-Chancellor of the University. The Head is supported by a team of administrative and technical workforce, with a number of supporting national service persons.

Generally, the Section supports the implementation of academic programme policies and regulations, and is responsible for the implementation of the University of Cape Coast Online Student Information Systems (UCCOSIS) in collaboration with the MIS Section and all Faculty/Departmental Registration and Examination Officers (FREOs/DREOs) of the University.

Activities and Responsibilities

The Students Records Section (SRS) supports the mandate of the DAA on the implementation of academic programme policies and regulations for Undergraduate studies, and coordinates with sister sections of the Directorate on academic requirements and needs of students, faculty and staff. The Section also manages registrations, assessments, graduations, and related academic needs of students of all streams (Regular, Sandwich, Distance) of the University as part of the implementation of the UCCOSIS, in collaboration with the MIS Section and all appointed   Faculty/Departmental Registration and Examination Officers (FREOs/DREOs) in the University. In line with the University’s strategic objective to strengthen research capacity and output, the SRS manages data requisitions to facilitate research for students, staff, faculty, and the University Community. It provides general student support services on academic needs and implements related administrative and technical activities and responsibilities as assigned by the University Management, the DAA, and the University community.

In line with the Academic Programmes Policies and Regulations for Undergraduate Students, “a student may apply for deferment of study provided that the student completes the entire academic programme within the stipulated time limit.”

In line with the Academic Programmes Policies and Regulations for Undergraduate Students, “All applications for deferment of programme shall be addressed to the Director (Directorate of Academic Affairs) through the Dean of the relevant Faculty/School who shall forward the application to the Director (DAA) with his/her comments.”

Sorry, as an institutional policy, the University does not accept requests to change or amend names or other records/particulars of students.

Female students who contract marriages while in the University may apply to have their names changed to include the surname acquired by the marriage. The application for a change of name under such circumstances shall be supported by a marriage certificate or requisite documentary evidence.

A student is graded IC when he/she misses one or more components of the assessment. In line with the Academic Programmes Policies and Regulations for Undergraduate Students,” it is the responsibility of students to ensure that all ICs are rectified within 2 weeks after the release of the results to their portals.” You may want to contact the Lecturer for assistance.
